Overview#
The Suggested calls card on Accounting › Billing & Collections is the bookkeeper agent's list of overdue accounts worth a phone call, ranked by how much is owed, how late it is, and how the account has responded. Each row shows the facts: overdue invoices, last payment, reminders sent, and whether a reminder is waiting in Approvals. Reminder texts still go through Approvals as before.
Before you start#
You need to see invoices (Owner, Admin, Accounting).
The ranking is rule-based and works without AI. Summarize history needs AI connected.
Steps#
Go to Accounting › Billing & Collections.
Read Suggested calls from the top. # is the rank.
Click Why? to see why the account ranks where it does and which invoices are open.
Optional: click Summarize history for a one-line AI summary before you call.
Click the customer or an invoice number to open it, then call as usual.
Settings that change this#
Settings › AI › AI assists › Collections call list.
AI Team › Bea (Bookkeeper): how reminder texts are drafted and approved.
Tips#
Rank = dollars owed × how late × how quiet the account has been (reminders unanswered, no payment in 90 days).
An account with a reminder waiting in Approvals says so, so two people don't chase the same customer.
Troubleshooting#
"No overdue accounts right now" → no sent invoice is past its due date with a balance.
No Summarize history link → AI isn't connected.
FAQ#
Does the list text customers? No. It's a list for you. Reminder texts are drafted by the collections agent and wait in Approvals.
What goes to the AI for a summary? Amounts, dates and counts only. No names or contact details.
Coming from ServiceTitan#
ServiceTitan's AR Management shows collection lists by aging. TradesWork adds a ranked call list on the same page.
