Overview#

On New automation, the Describe it box turns a sentence into a draft in the normal editor: the trigger, conditions and steps. The draft is always in Ask first mode (runs wait in Approvals) and isn't saved until you press the editor's own save button, which saves it switched off like any new automation. Anything the editor can't do is listed instead of faked.

Before you start#

  • You need permission to manage automations (Owner or Admin).

  • AI must be connected and Describe it on in Settings › AI.

Steps#

  1. Go to Marketing › Automated Campaigns and click New automation.

  2. In Describe it, type what should happen, for example "When an estimate over $1,500 has been open 3 days, text the customer and make a call-back task for the sales team".

  3. Click Draft it.

  4. Read the AI draft summary and the Not included list.

  5. Check every field in the editor below: name, trigger, conditions, each step's text and assignee.

  6. Click Save (switched off). Test it, then switch it on from the automation's page.

Settings that change this#

  • Settings › AI › AI assists › Describe it.

  • Settings › AI › AI Assistants › Automations: how Ask first runs are approved.

Tips#

  • Job type and business unit conditions are matched to your own list by name. Names that don't match are left out and listed.

  • Webhooks need a URL only you know, so they're always listed for you to add.

Troubleshooting#

  • No Describe it box → AI isn't connected, or the assist is off.

  • A placeholder task was added → no usable step was described → change it before saving.

FAQ#

Does the automation use AI when it runs? No. The finished automation is a normal one with no AI step.

Can it switch the automation on? No. It's saved switched off, in Ask first mode.

Coming from ServiceTitan#

The editor is the same as before. Describe it is an optional shortcut that fills it in.
