Overview#
Byron covers Purchasing. It turns min/max shortfalls into draft purchase orders (one per vendor and ship-to), stages supplier catalog price changes into a pricebook draft, flags late or backordered POs, and chases vendor returns waiting for credit.
Before you start#
Open it from AI Team (the AI Team link next to Approvals) and click Open on Byron's card, or click Your Buyer agent at the top of a Purchasing page.
Owners and admins change autonomy and guardrails. People who can approve AI proposals (owners, admins, dispatchers, accounting) can use Do it, Dismiss and Undo.
Items need a preferred vendor to land on a PO; items without one are listed for you.
Byron never sends a PO to a supplier; drafts stay drafts until someone sends them.
Steps#
What Byron does on each run#
Daily: Byron reads Purchasing › Replenishment (what's below minimum after counting what's already on order) and prepares Draft a PO to <vendor> for <location> with the lines and total.
In On its own, a PO at or under the money limit is created as a draft; larger ones wait in Approvals with the reason "over this agent's money limit".
Pending supplier catalog changes for items in your pricebook: Byron prepares Stage … into a pricebook draft (technicians keep live prices until you publish).
Open POs past their required date or with backordered lines: Byron notes them so someone calls the vendor.
Vendor returns shipped 14+ days ago with no credit: Byron creates a task for the accounting queue.
Undo on a drafted PO cancels it while it's still a draft.
Set how far Byron may go#
On Byron's page, under Autonomy, click a level: Off, Suggest, With approval, On its own.
Under Guardrails, set the limits and click Save guardrails.
Click Run now to run it immediately instead of waiting for its schedule.
Review what it did#
In Activity, each entry says what, why, and the outcome (Suggested, Waiting for approval, Done, Undone).
Click Do it on a suggestion to do it with your permissions, or Dismiss.
Click Undo within 24 hours to reverse a reversible action.
Settings that change this#
AI Team › (agent) › Autonomy: Off, Suggest, With approval, On its own.
AI Team › (agent) › Guardrails: money limit per action, customer contact, quiet hours, actions per day, monthly AI budget.
Tips#
Start with a small money limit (for example $500) and raise it once the drafts look right.
Running again doesn't duplicate POs: what's on order counts toward stock.
Troubleshooting#
No PO drafts. → Nothing is below minimum, items lack min/max templates, or no preferred vendor. → Check Purchasing › Replenishment.
Undo says the PO was sent. → It's no longer a draft. → Cancel with the vendor, then cancel the PO.
FAQ#
Does Byron order from my supply house? No. It drafts. Sending (email, punchout or EDI) stays a person's step on the PO page.
Is everything Byron does recorded? Yes. Each action is in its activity log and in the audit trail, attributed to the agent (or to the person who approved it).
Coming from ServiceTitan#
In ServiceTitan, buyers run replenishment and create POs in Inventory › Purchasing. Byron prepares the same POs for review.
