Overview#

Dex covers Dispatch. Every afternoon it builds tomorrow's board with the AI Dispatcher planner (skills, drive time, promised windows). In On its own it publishes the plan when no customer's arrival window moves; otherwise a dispatcher decides.

Before you start#

  • Open it from AI Team (the AI Team link next to Approvals) and click Open on Dex's card, or click Your Dispatcher agent at the top of a Dispatch page.

  • Owners and admins change autonomy and guardrails. People who can approve AI proposals (owners, admins, dispatchers, accounting) can use Do it, Dismiss and Undo.

  • Owners and admins set Dex's autonomy. Dex's autonomy also turns the AI Dispatcher's auto mode for re-plans on (On its own) or off (anything else).

  • Planning works without AI; with AI connected the plan also gets a written summary.

Steps#

What Dex does on each run#

  1. After 3 pm (company time), if tomorrow has no plan yet, Dex builds one. A plan is itself a proposal: nothing moves on the board until it's applied. So in With approval Dex builds it and you review it on Dispatch › AI Dispatcher.

  2. Dex then prepares Publish the plan for <day>. If the plan moves any customer's promised window, publishing always waits for a dispatcher (the reason says so).

  3. In On its own, a plan that keeps every window is published to the board (it counts toward the daily action limit). In With approval it waits in Approvals. In Suggest, Dex only lists "Build the dispatch plan" for you to click Do it.

  4. Undo on a built plan discards it while it's still proposed. A published plan can't be undone from here; change the board directly.

Set how far Dex may go#

  1. On Dex's page, under Autonomy, click a level: Off, Suggest, With approval, On its own.

  2. Under Guardrails, set the limits and click Save guardrails.

  3. Click Run now to run it immediately instead of waiting for its schedule.

Review what it did#

  1. In Activity, each entry says what, why, and the outcome (Suggested, Waiting for approval, Done, Undone).

  2. Click Do it on a suggestion to do it with your permissions, or Dismiss.

  3. Click Undo within 24 hours to reverse a reversible action.

Settings that change this#

  • AI Team › (agent) › Autonomy: Off, Suggest, With approval, On its own.

  • AI Team › (agent) › Guardrails: money limit per action, customer contact, quiet hours, actions per day, monthly AI budget.

Tips#

  • Keep Actions per day low at first (for example 2) so Dex publishes at most one plan a day while you build trust.

  • Re-plans for running-long jobs, call-outs and emergencies stay on the AI Dispatcher page.

Troubleshooting#

  • "A plan for <day> already exists" in the run. → Someone planned tomorrow already. → Open it on the AI Dispatcher page.

  • Publish failed: the board changed. → Someone moved an appointment after the plan was built. → Run Dex again or plan again on the AI Dispatcher page.

FAQ#

Will Dex text customers about changes? No. Publishing never texts customers. You can text them from the plan page.

Is everything Dex does recorded? Yes. Each action is in its activity log and in the audit trail, attributed to the agent (or to the person who approved it).

Coming from ServiceTitan#

ServiceTitan dispatchers build tomorrow's board by hand on the Dispatch Board. Dex builds it for you; the board and plan pages work the same way.
