Overview#

Sage covers Follow Up. It starts your follow-up text sequence on open estimates that have gone quiet, puts renewal calls on the list for memberships that won't renew by themselves, and proposes bookings for member visits that are due.

Before you start#

  • Open it from AI Team (the AI Team link next to Approvals) and click Open on Sage's card, or click Your Sales coordinator agent at the top of a Follow Up page.

  • Owners and admins change autonomy and guardrails. People who can approve AI proposals (owners, admins, dispatchers, accounting) can use Do it, Dismiss and Undo.

  • Follow-up texts must be on in Settings › Follow-up; if they're off, Sage tells you instead of starting anything.

  • Starting a sequence contacts customers. In On its own it still waits for approval unless May contact customers on its own is ticked, and never during quiet hours.

  • Sage's autonomy also sets the member-visit booking agent's mode.

Steps#

What Sage does on each run#

  1. Daily: open estimates (presented or in follow-up) with no activity for 3 days and no follow-up running → Start follow-up texts on "<estimate>". Your own sequence is used; it stops by itself when the customer replies or buys.

  2. Active memberships ending within 30 days that don't auto-renew → a renewal-call task in the CSR queue.

  3. Member visits due → booking proposals in Approvals (no AI needed).

  4. Undo on a started follow-up pauses it.

Set how far Sage may go#

  1. On Sage's page, under Autonomy, click a level: Off, Suggest, With approval, On its own.

  2. Under Guardrails, set the limits and click Save guardrails.

  3. Click Run now to run it immediately instead of waiting for its schedule.

Review what it did#

  1. In Activity, each entry says what, why, and the outcome (Suggested, Waiting for approval, Done, Undone).

  2. Click Do it on a suggestion to do it with your permissions, or Dismiss.

  3. Click Undo within 24 hours to reverse a reversible action.

Settings that change this#

  • AI Team › (agent) › Autonomy: Off, Suggest, With approval, On its own.

  • AI Team › (agent) › Guardrails: money limit per action, customer contact, quiet hours, actions per day, monthly AI budget.

Tips#

  • Allow customer contact only after reviewing a few approved follow-ups.

  • Renewal tasks link to the customer.

Troubleshooting#

  • "Follow-up texts are off" note. → The sequence is turned off. → Turn it on in Settings › Follow-up.

  • Follow-up waits in Approvals in On its own. → Customer contact isn't allowed alone, or it's quiet hours. → Change the guardrail if you want it automatic.

FAQ#

Does Sage write its own sales texts? No. It only starts the sequence you wrote.

Is everything Sage does recorded? Yes. Each action is in its activity log and in the audit trail, attributed to the agent (or to the person who approved it).

Coming from ServiceTitan#

ServiceTitan sales coordinators work unsold estimates from Follow Up and renewals from Memberships by hand. Sage starts the same follow-up and lists the renewals.
