Close last month so nothing new posts into it, and reopen it (owner only, with a reason) when a correction must land there.

Overview#

Closing a month tells TradesWork that month's numbers are final. Nothing new posts into a closed month: corrections land in the current month and say which month they correct. Only the owner can reopen a month, and must give a reason.

Before you start#

  • Closing (and closing again) needs costing.manage (Owner, Admin, Accounting).

  • Reopening needs periods.reopen: the Owner only. Admins can't reopen.

Steps#

Close last month#

  1. Go to Accounting › Job Costing and find Closed months.

  2. When last month has ended, you'll see "{Month Year} has ended." Click Close {Month Year}. You'll see "Month closed."

Reopen a month (owner)#

  1. In the Closed months table, enter a Reason (at least 3 characters) next to the month.

  2. Click Reopen. The status becomes Reopened, with the date and reason.

  3. When done, click Close again.

What a closed month locks#

  • Direct costs can't be dated in a closed month.

  • Ledger corrections to that month's invoices post in the current month, marked "corrects YYYY-MM".

Settings that change this#

  • Accounting › Job Costing › Closed months.

Tips#

  • Close the month after your bookkeeper reconciles, not on the 1st.

  • Closing in TradesWork doesn't set QuickBooks' closing date. Set that in QuickBooks too.

Troubleshooting#

  • "Only a month that has ended can be closed." → wait until the month is over.

  • "{YYYY-MM} isn't closed." → it's already open.

  • "{month} is closed. Date this today, or ask the owner to reopen {month} (with a reason)." → date the cost today, or have the owner reopen.

  • No Reopen button → only the Owner can reopen.

FAQ#

Can I close a month further back than last month? The page offers last month. Close each month as it ends.

Does closing stop invoices or payments? No. Day-to-day work continues; entries simply date in the current month.

Coming from ServiceTitan#

  • Same idea as: locking accounting periods so exported numbers don't change.

  • Different: corrections still work after closing; they post in the current month with a note of the month they correct.

  • Where it lived: ServiceTitan accounting period settings; Accounting › Job Costing › Closed months in TradesWork.
