Overview#

Every piece of work in TradesWork is a job. The job page is where the office schedules it, sells it, bills it and follows up. It pulls together the appointments, the estimate options, the invoice and payments, the technician's photos and forms, notes, texts with the customer and the customer link, so you rarely need to leave it.

Before you start#

  • Opening jobs needs jobs.read (every office role).

  • What you can change depends on your role. Buttons you can't use are hidden, not greyed out. Viewers see the page read-only.

  • Technicians work their jobs in the Field app, not on this page.

Steps#

Find a job#

  1. Click Jobs in the top bar (it's also under Schedule › Jobs & Appointments in the left menu).

  2. Use the status chips to filter: Open (the default: unscheduled, scheduled, in progress and needs follow-up), each single status, All, or On hold.

  3. Click the job number to open it. You can also open a job from the customer page's Job history.

Read the page, top to bottom#

  1. Header: job number, summary, status badge, priority and when it was created. A reference number shows if the job came from an import or an integration.

  2. Description: what the customer told the booker.

  3. Calls: calls on this job and click-to-call.

  4. Appointments: each visit's day, arrival window, length and technicians, with Dispatch, Undispatch and Cancel buttons, Put on hold, Change technicians, and Schedule an appointment. The technician's closing summary shows here as Tech summary.

  5. Estimates: each estimate or good/better/best proposal, with Mark sold and Dismiss, plus Add estimate and Start from a kit.

  6. Financing: monthly prices, add-ons and financing applications, when financing is set up.

  7. Invoice: lines, member discounts, totals, Paid and Balance, the customer link, payments, Add line, Record payment, Send invoice, cards on file and refunds.

  8. Photos: pictures from the Field app, with Show in customer recap.

  9. Forms and checklist: forms filled on this job and what the guided flow still requires.

  10. Notes: the team's notes, newest last, with Add note.

The side column#

  • AI assist (when AI is on): Summarize this job, Write the job summary and Draft a text. Drafts are never saved or sent until you choose to.

  • Check invoice for missing items (when you can approve AI proposals): compares the notes with the invoice and proposes missing pricebook lines for approval.

  • Commercial: branch, customer PO, not-to-exceed and site contact (commercial customers).

  • Job costing: revenue, costs and margin (people with costing access).

  • Messages: the text thread with the customer and the Customer link (One Link).

  • Customer card: phone, email, location, location tags, Pinned notes and Access notes.

  • Details: Job type, Business unit, Campaign and, for owners and admins, Labor cost (approved time).

  • Equipment at this location.

Settings that change this#

  • Settings › AI › AI Assistants & Data Preferences: turns AI assist and the invoice check on or off.

  • Settings › Operations › Forms: which forms and checklist items the job requires.

  • Settings › Phones › Phone Numbers, Call Recording & Texting: whether the Messages panel can send texts.

  • Settings › Appearance: the words used on the page (for example "Work order" or "Visit").

Tips#

  • The Open filter is the daily view. Use On hold to see every appointment a technician paused, with the reason.

  • Sections that fail to load (photos, messages) say so and the rest of the page keeps working. Reload to try again.

  • Copy the Customer link from the Messages panel when the customer prefers email or you're on the phone with them.

Troubleshooting#

  • I can't see Dispatch or Schedule an appointment → you don't have the dispatch permission (Accounting and Viewer don't) → ask a dispatcher.

  • No Add estimate section → the job is canceled, your role can't write estimates (Customer service, Accounting and Viewer can't), or the pricebook is empty → ask a dispatcher, or add pricebook items first.

  • "Photos couldn't be loaded right now" → a temporary storage problem → reload the page in a minute.

  • The page says the job wasn't found → the link is from another company or the job number is wrong → search from Jobs.

FAQ#

Can I add photos from the office? Not yet. Technicians add photos in the Field app. The office decides which ones the customer sees.

Can I cancel the whole job? Cancel each open appointment with Cancel. A job-level cancel button isn't in the office yet.

Why does the job status change by itself? A job's status follows its appointments. See Job and appointment statuses.

Coming from ServiceTitan#

  • Same: one job page with appointments, estimates, invoice, payments, photos/attachments, forms and notes.

  • Different: text messages and the customer's One Link live on the job page itself. AI assist and the invoice check sit in the side column. There's no separate "attachments" tab: photos and form reports cover it.

  • Where it lived: ServiceTitan's job page (Jobs › job number) maps to /jobs/<id>.
