Overview#

Schedule › Jobs & Appointments is the list of every job in your company, newest first. Use it to find a job by status, check what is still unscheduled, see appointments that a technician paused, and open a job to work on it. A job is the work you are doing for a customer at one location. An appointment is one visit for that job, with an arrival window and the technicians going.

Before you start#

  • You need a role that can read jobs: Owner, Admin, Dispatcher, Customer service, Accounting or Viewer. Technicians do not use this page; they see their own appointments in the TradesWork Field app.

  • The Book job button (top right of the page, and in the top bar) shows only for roles that can create jobs: Owner, Admin, Dispatcher and Customer service.

  • Scheduling, dispatching and holding appointments from a job page needs the dispatch permission (Owner, Admin, Dispatcher, Customer service).

  • If your company uses branches, you only see jobs in the branches you can see.

Steps#

Filter the list#

  1. In the left menu, open Schedule › Jobs & Appointments.

  2. Pick a status chip at the top of the list. The list opens on Open by default.

    • Open: Unscheduled, Scheduled, In progress and Needs follow-up together. This is your working list.

    • Unscheduled: jobs with no open appointment yet. New bookings and online bookings start here until someone schedules them.

    • Scheduled: at least one appointment is scheduled or dispatched.

    • In progress: a technician is en route or working.

    • Needs follow-up: the last finished appointment was closed as needing a follow-up.

    • Completed and Canceled: closed jobs.

    • All: every status.

    • On hold: appointments a technician or the office paused, with the reason and when. See "Put an appointment on hold".

  3. Read the columns: Job (the number), Summary (with a priority badge for High or Emergency), Customer (with the street and city), Job type, Campaign, Status and Created.

  4. Click a customer name to open the customer record instead of the job.

Open a job#

  1. Click the job number (for example #1042). The job page opens.

  2. The header shows the number, summary, status and priority, plus when the job was created.

  3. The Appointments card lists each visit: the day, arrival window, expected minutes, technicians (or "Unassigned") and the appointment status.

  4. The right column shows the customer's phone, email, location, pinned notes, access notes, job type, business unit and campaign.

Schedule, dispatch or cancel from the job page#

  1. On the Appointments card, open Schedule an appointment. It is already open when the job has no appointments.

  2. Set Arrival window starts and Arrival window ends. Moving the start keeps the window length.

  3. Check Expected duration (minutes). It defaults to the job type's duration, or 60.

  4. Tick one or more Technicians (optional; leave all unticked to dispatch later).

  5. Add Instructions for the technician if needed, then click Schedule.

  6. On an existing appointment, use the buttons on its row:

    • Dispatch sends a scheduled appointment to the technician.

    • Undispatch moves a dispatched appointment back to scheduled.

    • Cancel cancels the appointment after you confirm "Cancel this appointment?".

    • Change technicians lets you tick different people and Save.

    • Put on hold or Resume appointment. See "Put an appointment on hold".

Settings that change this#

  • Settings › Your Account › Appearance: the menu skin changes some words on this page (for example "Book job" versus "New job").

  • Settings › Dispatch Board › Zones, Move-up & Work Streams: certifications. Scheduling a technician who is missing a required certification is refused.

  • Settings › Operations › Branches: which branches each person can see.

Tips#

  • A job's status follows its appointments. You don't set it by hand. An appointment en route or working makes the job In progress; finishing the last one makes it Completed or Needs follow-up, depending on how the technician closed it.

  • Use Unscheduled as your morning to-do list. It catches online bookings and agreement visits that landed without a time.

  • The list shows the newest 200 jobs for the chosen status. To find an older job, open the customer and go to the job from there.

  • Use the Dispatch Board for drag-and-drop scheduling across many technicians. The job page is best for one job at a time.

Troubleshooting#

  • The Book job button is missing. Your role can't create jobs. Ask an owner or admin to change your role in Settings › People › Employees & Role Permissions.

  • There are no Schedule or Dispatch buttons on the job. Your role doesn't have dispatch rights (Accounting and Viewer read only), or the job is canceled.

  • "This job was canceled. Reopen it before scheduling." You tried to schedule a canceled job. Book a new job for the customer instead.

  • A job you expect is not in the list. Check the status chip (try All), and check your branch. Only the newest 200 rows show.

  • Scheduling a technician fails with a certification message. The technician's certification for that job type is missing or expired. Update it, or pick another technician.

FAQ#

Can I search the jobs list by name or address? Not on this page. Search for the customer from Customers or from the dispatch board's job list, then open the job.

What is the difference between a job and an appointment? A job is the work. An appointment is one visit for that work. A job can have several appointments, for example a diagnosis visit and a return visit with parts.

Why is the job "Scheduled" when the technician is already driving? The job moves to In progress when the appointment status changes to En route. If it still shows Scheduled, the technician hasn't tapped Start driving in the field app yet.

Can a Viewer see this page? Yes. Viewers see the list and job pages but no editing buttons.

Coming from ServiceTitan#

  • Same idea: ServiceTitan's job list and appointment list are one page here, with status chips instead of saved filters. Job numbers, job types, campaigns and business units work the way you know.

  • Different: job status is derived from appointment statuses, so there is no manual job status change. "Hold" is an appointment overlay with a reason, not a job status.

  • Where it lived: ServiceTitan's Jobs list and job page. The booking flow behind Book job replaces the ServiceTitan "Book Job" button on the Calls screen.
