Overview#
Sending an invoice creates a pay link. The page shows the invoice and lets the customer pay by card or straight from their bank account on Stripe's secure checkout, add a tip if you ask for one, and save their card for next time. Bank (ACH) payments take a few business days to clear and show as processing until then. Receipts appear on the pay page and the job's One Link.
Before you start#
Card and bank payments need Stripe connected in Settings › Integrations › Payment Processing. Without it, the page shows how to pay by phone instead.
Pay by bank also needs US bank account payments enabled in your Stripe dashboard.
Tip settings need settings.manage (Owner, Admin).
Steps#
What the customer sees#
Your company name and phone, Invoice #N, "For {customer}", the due date and a status chip (Paid, Processing or Due).
The lines, member discounts and totals: Subtotal, Tax, Total, Paid, Bank payment processing and Balance due.
With card payments on: an optional tip step, an optional Save card for future service checkbox with the consent text, and Pay $X (or Continue to pay $X + tip).
They pay on Stripe's page and come back to "Thank you, {first name}! Your payment was received." or "Your payment is processing."
A Receipt section lists each payment (failed ones struck through) and any tip.
Without card payments, the page shows "Call to pay · {phone}".
Turn on tips#
Go to Settings › Integrations › Payment Processing › Tips.
Tick Ask customers for a tip and set Preset 1/2/3 (%) (default 15, 18, 20).
Click Save payment settings.
Turn bank payments on or off#
In the same page, tick or untick Offer "Pay by bank" on the pay page (on by default).
Click Save payment settings.
When a bank payment settles or bounces#
While settling (about 4 business days), the payment is pending and doesn't count as paid. The pay page and One Link say "Bank payment processing" so the customer isn't asked twice.
If it bounces, the payment is marked failed and the invoice reopens. Accounting › Overview shows a Payment alerts notice: "Payments that didn't go through. The invoice is open again; reach out to the customer." Click Mark handled once you've followed up.
Settings that change this#
Settings › Integrations › Payment Processing: Stripe, pay by bank, tips, Tap to Pay.
Settings › Communications › Customer Notifications: the invoice and "Payment receipt" texts.
Tips#
Tips are kept separate from the invoice: they aren't revenue and aren't taxed. They're split evenly between the technicians on the job and shown on Accounting › Overview under Tips this month.
Estimated bank payment fee: 1%, capped at $10, much cheaper than cards for large invoices.
A tip can't be more than the amount being paid.
Troubleshooting#
"We couldn't start the payment. Try again, or call us to pay." → a temporary Stripe problem → try again, or take payment another way.
Customer paid but the invoice still shows a balance → Stripe hasn't confirmed yet, or it's a bank payment still processing → check again later.
The link shows "not found" → the invoice was voided.
No "Pay by bank" option → the setting is off, or US bank accounts aren't enabled in your Stripe dashboard.
FAQ#
Do customers get an email receipt? No. Receipts are online (pay page and One Link) and, when texting is on, sent as a "Payment receipt" text.
Can the customer pay part of the balance? The pay page charges the full balance due. Record partial payments in the office.
Coming from ServiceTitan#
Same idea as: ServiceTitan's text-to-pay and customer payment page.
Different: bank payments and tips are built in on the same page, and the receipt lives on the customer's job link.
Where it lived: ServiceTitan Payments settings; Settings › Integrations › Payment Processing in TradesWork.
