Overview#

Recurring Visits (Member visits by area) helps you book maintenance visits so a technician can do a street's tune-ups in one trip. It groups visits due in the next two months by area and month. For each group it shows "anchor days": days that month when you already have work in that area, and who is doing it. You then book the visits you pick on one day, back to back, with one technician.

This article covers the area view. To learn how membership visits are created and booked one at a time, see the recurring member visits article.

Before you start#

  • Anyone who can see jobs can open the page. Booking needs a role that dispatches: Owner, Admin, Dispatcher or Customer service.

  • Visits come from memberships. Without active memberships with due visits, the page is empty.

  • Grouping is best with zones set up in Settings › Dispatch Board › Zones, Move-up & Work Streams. Without zones, visits group by the first three digits of the ZIP code.

Steps#

  1. Open the page.

    • In the left nav, go to Schedule › Recurring Visits, or on the Dispatch Board click More › Member visits.

  2. Read the groups.

    • Each card is one area and one month, for example "North Oakland · November 2026" or "ZIP 480xx · November 2026". Visits without a ZIP group under "No ZIP".

    • The badge shows how many visits are in the group. The biggest groups come first.

    • The line under the title shows anchor days, for example "Already working there: Tue, Nov 4 (3 jobs, Luis)". Up to three days show, busiest first. "No other work booked in this area that month yet." means there's no anchor.

    • Each visit shows the customer, street, city, the visit name and its due date.

  3. Pick the visits to book.

    • Every visit is ticked. Untick any you don't want in this batch.

  4. Choose the day, time and technician at the bottom of the card.

    • Day: defaults to the busiest anchor day, if there is one.

    • Arrival from (2-hour window): 8:00 AM to 4:00 PM, on the hour.

    • Technician: defaults to the first technician already working there that day. Choose Unassigned to place them on the board without a technician.

  5. Click Book selected.

    • Visits are booked in list order, 90 minutes apart (a tune-up plus the drive), each with a 2-hour arrival window. For example: 8:00–10:00, 9:30–11:30, 11:00–1:00.

    • It's all or nothing: if one visit can't be booked, none are, and a red banner says why.

    • A green Visits booked banner confirms. The visits now appear on the Dispatch Board for that day.

Settings that change this#

  • Settings › Dispatch Board › Zones, Move-up & Work Streams: zones and their ZIP codes decide how visits group. Inactive zones are ignored.

  • Settings › Operations › Memberships: membership plans and the visits they generate.

  • Settings › Dispatch Board › Board & Skills: technician skills. Booked visits get the usual skill warnings on the board.

Tips#

  • Book on an anchor day to keep the truck in one area. The anchor list counts open and scheduled work from today on, not canceled appointments.

  • Large groups may not fit one technician's day. Untick some visits and book them on a second anchor day.

  • After booking, check the Dispatch Board for overlaps and over-capacity warnings, and use Optimize route on the technician's row to re-order the stops.

Troubleshooting#

  • "No member visits due". Cause: no membership visits are due in the next two months. Fix: check memberships, or come back later.

  • "Pick at least one visit." Cause: everything was unticked. Fix: tick at least one.

  • A red banner about a certification or branch. Cause: the technician can't take one of the visits. Nothing was booked. Fix: choose another technician or untick that visit.

  • No Book selected button or checkboxes. Cause: your role can read but not dispatch.

  • Everything groups under "ZIP 480xx". Cause: no zones. Fix: add zones in Settings › Dispatch Board › Zones, Move-up & Work Streams.

FAQ#

How far ahead does it look? From the current month through about two months out.

Can I change the 90-minute spacing? Not on this page. Move individual appointments on the board afterwards.

Does booking text the customer? No. Booking only creates the appointments.
