Overview#

A location is an address where work happens. One customer can have many: a home and a rental, or every store a commercial client owns. Each location carries its own access notes, tags and equipment, so the technician sees the right gate code and the right furnace for the address they're driving to.

Before you start#

  • Adding locations, equipment and tags needs customers.write (Owner, Admin, Dispatcher, Customer service).

  • Creating the list of available tags needs settings.manage (Owner, Admin).

  • Technicians see tags, access notes and pinned notes on the appointment in the Field app. They can't edit the tag list.

Steps#

Add a location to a customer#

  1. Open the customer (Customers › click the name).

  2. In the right column, find Add location.

  3. Fill in Name (optional) (for example "Rental" or "Office"), Street (required), City, State, ZIP and Access notes.

  4. Click Add location. It appears in the Locations card and in the location picker when you book a job for this customer.

Add equipment at a location#

  1. On the customer page, find Add equipment (shown once the customer has a location).

  2. Pick the Location, enter Type (required, such as "Furnace"), Manufacturer, Model, Serial, Installed date, Warranty ends date and Notes.

  3. Click Add equipment. Click the equipment's name later to open its full record.

Set up location tags (once)#

  1. Go to Settings › Integrations › Mobile.

  2. In Location tags, type a New tag (for example "Dog on site", "Gate code", "Tenant occupied"), pick a color and click Add tag.

  3. To rename or recolor a tag, edit it in the list and click Save. To delete it, click Remove and confirm. Removing a tag takes it off every location.

Tag a location#

  1. On the customer page, under the location, click Edit tags.

  2. Tick the tags that apply and click Save tags.

  3. The tags show as colored chips on the customer page, on the job page and at the top of the technician's appointment.

Settings that change this#

  • Settings › Integrations › Mobile: the location tag list, and whether the Field app uses residential or commercial wording.

  • Settings › Operations › Branches: when you run branches, the location's ZIP decides which branch a new job lands in.

Tips#

  • Keep access notes short and practical: gate code, where to park, which door, pets. They show as a yellow warning on every job at that address.

  • Use tags for things that are true for every visit. Use a pinned note for something a technician learned on site (see Job notes and pinned notes).

  • Name second locations ("Rental", "Lake house") so the office picks the right one when booking.

Troubleshooting#

  • No "Edit tags" link under the location → no tags exist yet, or you can't edit customers → create tags in Settings › Integrations › Mobile, or ask someone with customers.write.

  • I added a location but can't book it → the booking page was already open with the old list → reload the booking page or start from the customer's Book job for this customer button.

  • Equipment form is missing → the customer has no location yet → add a location first.

FAQ#

Can I edit or delete a location's address? Not from the office yet; that's coming soon. Add the corrected address as a new location and book new work there.

Do customers see location tags? No. Tags are for your team only.

Where do the access notes show for technicians? On the appointment in the Field app and on the office job page, highlighted in yellow.

Coming from ServiceTitan#

  • Same: locations sit under a customer, and equipment sits under a location.

  • Different: ServiceTitan "location tags" and "special instructions" map to TradesWork location tags and access notes. The tag list is managed under Settings › Integrations › Mobile rather than a tag-type settings page.

  • Where it lived: Customer page › Locations in ServiceTitan; the same card on the TradesWork customer page.
