Overview#

The Fleet map shows where every truck is now. Each truck shows its status, its default technician and the appointment that tech is on. Techs without a tracker show up too when they share their phone's location from the field app. The page refreshes itself every 30 seconds while it is open.

Before you start#

  • You need a role that can see positions: Owner, Admin, Dispatcher or Customer service. Accounting, technicians and viewers do not see the map. Live positions are personal data, so they stay with the people who dispatch.

  • At least one vehicle must exist in Settings › Integrations › GPS (/settings/fleet). See Vehicles and trackers.

  • Positions come from one of two places: a plug-in tracker reporting through the flespi gateway, or a technician's phone after they accept the monitoring notice in the field app.

  • The map uses a free OpenFreeMap style by default. If your administrator set map tiles to off, you still get the full list of trucks, just without the map.

Steps#

  1. Open the map.

    • In the left nav, go to Dispatch › Tools › Map. This opens /fleet.

    • From the dispatch board you can also open More › Fleet.

  2. Read the list on the right. Each row shows:

    • A truck icon (vehicle) or a phone icon (a tech sharing their phone with no truck).

    • The status badge: Moving, Idling, Parked, Offline or Off duty.

    • The default tech, or "No default tech".

    • The time of the last position and the speed in mph. "via phone" means the truck's position came from the tech's phone.

    • "no recent position" when nothing has arrived lately.

  3. Click a row to highlight that truck on the map. Click a marker on the map to highlight its row.

  4. Open the current job. If the tech has an appointment in progress, a grey strip shows the job number, summary, appointment status and city. Click it to open the job.

  5. Open the day's history. Click Route playback under any row to replay that truck's day. See Route playback.

  6. Read the circles on the map.

    • Today's job sites are drawn as geofence circles. A circle turns green once someone has arrived.

    • Zones such as the shop or supply houses are drawn in a different color.

  7. Use the buttons at the top of the page:

    • Route playback opens /fleet/playback.

    • Arrivals opens /fleet/arrivals.

    • Vehicles and trackers opens the settings page. Only owners and admins see this button.

See trucks on the dispatch board#

  1. Open Dispatch › Boards › Dispatch Board.

  2. Click Trucks in the board toolbar. The live trucks panel ("Trucks now") replaces the board map.

  3. Click Hide trucks to go back to the normal board map.

Settings that change this#

  • Settings › Integrations › GPS (/settings/fleet): vehicles, default techs, trackers and the ingest token.

  • Settings › Integrations › GPS › Privacy and retention: Off-duty privacy hides positions outside working hours.

  • Settings › Integrations › GPS › Geofences: the shop, supply houses and job fence overrides drawn on the map.

Tips#

  • What the statuses mean:

    • Moving: the last position was 5 km/h (about 3 mph) or faster.

    • Idling: stopped with the ignition on (trackers only; phones cannot report ignition).

    • Parked: stopped with the ignition off or unknown.

    • Offline: no position in the last 30 minutes.

    • Off duty: there is a position, but off-duty privacy hides it.

  • A truck's appointments are its default tech's appointments. Set the default tech on each vehicle so the job strip is right.

  • The page only refreshes while the browser tab is visible. Switch back to it to get fresh positions.

Troubleshooting#

  • The page says "No vehicles yet". Cause: no vehicle has been added. Fix: an owner or admin adds trucks in Settings › Integrations › GPS.

  • A truck shows Offline all day. Cause: the tracker is not sending, is disabled, or its IMEI is not registered. Fix: check Last seen in the Trackers table and the flespi stream. See Vehicles and trackers.

  • A truck shows Off duty and no dot. Cause: off-duty privacy is on and the position is outside working hours with no appointment en route or working. Fix: this is by design. Change working hours only if they are wrong.

  • A phone-only tech never appears. Cause: they have not accepted the monitoring notice, they paused sharing, or they are not on shift. Fix: ask them to open the field app and check the Location card on Today.

  • "Map tiles aren't configured". Cause: the server has map tiles turned off. Fix: the list still works. Ask your administrator to set a map style.

  • "The map style couldn't load." Cause: the map provider rejected the request. Fix: your administrator checks the map style URL and the key's allowed domains.

FAQ#

Can technicians see the map? No. Technicians share their own location. They never see other people's positions.

How fresh is the position? Trackers usually report about once a minute while driving. Phones send about once a minute. The page refreshes every 30 seconds.

Does it show speeding or harsh braking? No. Driver scorecards, speeding and tamper alerts are not built yet.

My truck has no tracker. Can it still show on the map? Yes, if the tech is set as the truck's default tech and shares their phone. The row then says "via phone".

Coming from ServiceTitan#

  • In ServiceTitan the map lived under Dispatch › Map, and GPS came from a separate provider or the paid Fleet Pro add-on. In TradesWork the map is built in and lives under Dispatch › Tools › Map.

  • Same idea: trucks on a map with their current job.

  • Different: phone GPS from the field app works for techs with no tracker, off-duty privacy is built in, and job geofences show on the map.

  • Not built yet: lasso-select to bulk assign, driver safety scores and maintenance alerts.
