Overview#

In TradesWork, pricebook changes don't go live as you make them. They collect in a draft. A draft review shows every item whose price, member price, cost or margin would move, including items repriced by rules. When it looks right, you publish it and technicians get the new prices on their next sync.

Bulk edit lets you change many items in one step: raise fixed prices by a percentage, set a markup, move items to a category, change the pricing method, or turn items on or off.

Before you start#

  • You need pricebook.write. Only owners and admins can bulk edit, review drafts and publish.

  • There are three kinds of drafts:

    • Working draft: where your item edits, bulk edits and Pricing Builder changes go. There is one open working draft at a time.

    • Price file drafts: one per supplier price file, named "[Supplier]: [file name]". See Supplier catalogs and price files.

    • Cost update drafts: named "Cost update: [vendor]". These come from the AP agent when a vendor bill shows higher part costs and someone approves its suggestion.

Steps#

Stage a bulk edit#

  1. Go to Pricebook › Services & Materials.

  2. Filter or search to narrow the list, then tick the checkbox on each item you want to change.

  3. In the bar above the list, pick an action under With selected:

    • Change fixed prices by %: enter a number in %, like 5 or -10. Allowed range is -50% to +500%. Only fixed-price items change; rule-priced items are skipped.

    • Set markup (×): enter a multiplier in Markup ×, like 2.5. Leave it blank to put the items back on the markup table.

    • Move to category: pick a Category, or Uncategorized.

    • Set pricing method: pick Fixed price, Cost plus markup or Flat rate (labor + materials) under Pricing. Flat rate only applies to services; other kinds are skipped.

    • Make active or Make inactive.

  4. Click Stage changes. You'll see a message like "12 staged in the working draft; 3 skipped (rule-priced items move with their rule)."

  5. Changed items now show a Draft change badge, and the Not live yet: strip shows the draft.

You can select up to 1,000 items in one bulk edit.

Review a draft#

  1. Click the draft's name in the Not live yet: strip, or Review working draft on an item, or the draft badge on a price file.

  2. The page shows four tiles: Items affected, Prices up, Prices down and Avg. margin (before → after).

  3. The table lists each affected item:

    • Changed: badges for the fields you changed (price, cost, pricing, labor, markup, category, member price, add-on, warranty, materials, active, taxable, name, description). "repriced by rules" means you didn't edit it, but a rule, setting or linked material changed its price.

    • Price, Member, Cost and Margin: old value struck through, new value colored green when it goes up and red when it goes down.

  4. If the draft came from a price file with recalculation turned off, a note says "Prices hold: costs update, rule-based prices stay where they are, and margins move."

Undo part of a draft#

Click Undo on a row to drop your change to that item. Rows marked "repriced by rules" have no Undo; they follow the rule.

Publish#

  1. Click Publish N changes.

  2. You land on the Change log with "Published version N: X items changed. Technicians get it on their next sync."

Publishing applies the draft, reprices the whole book with your current rules, records each change in the change log and raises the pricebook version.

Discard a whole draft#

Click Discard draft and confirm "Discard every change in this draft?". Nothing goes live and you return to the pricebook.

Settings that change this#

  • Pricebook › Pricing Builder: rules saved there apply at the next publish of any draft.

  • Pricebook › Suppliers & price files: the Recalculate rule-based prices from the new costs option on each import.

Tips#

  • Before a yearly price increase, filter to one category, tick everything, choose Change fixed prices by %, then check Avg. margin on the review page.

  • Publish small, focused drafts. The change log is easier to read later.

  • A full save in the item editor only stages fields that really changed, so the draft stays clean.

Troubleshooting#

  • "Select at least one item." Tick at least one checkbox first.

  • "Choose what to change." Pick an action under With selected.

  • Some items were skipped. Percentage changes only apply to fixed-price items, and flat rate only applies to services.

  • "This draft is already published." or "This draft was discarded." Someone else finished it. Go back to the pricebook to see open drafts.

  • There's no Publish button. The draft has no changes that move anything yet.

  • The review shows items I didn't touch. You saved new Pricing Builder rules or a category markup table, or a linked material's cost changed. Any publish reprices the whole book with the current rules.

FAQ#

Q: Is there a list of all drafts? Open drafts appear in the Not live yet: strip on the pricebook page. Price file drafts are also linked from Suppliers & price files.

Q: Do estimates already created change when I publish? No. Estimates keep the prices they were built with.

Q: Can two people edit at once? Yes. Both edits land in the same working draft. Publishes are processed one at a time.

Coming from ServiceTitan#

  • Like ServiceTitan's bulk edit and Pricebook Pro rule updates, but every change is staged and reviewed with a margin impact before anyone sees it.

  • ServiceTitan applies most edits immediately. In TradesWork, nothing reaches technicians until you publish.
