Overview#

Most manufacturers give a longer parts warranty only if the install is registered within a set number of days. The Registration tab lists recent installs that still need registering, builds a packet with everything the manufacturer's portal asks for, and records the confirmation number. Credits reconciles warranty money by distributor, and Manufacturer rules holds each brand's terms so TradesWork can estimate coverage and deadlines.

Before you start#

  • Viewing needs warranty.read. Working registrations, credits and rules needs warranty.manage (Owner, Admin, Dispatcher, Accounting).

  • Registration needs the install date, model and serial on each unit.

Steps#

Register an install#

  1. Go to Purchasing › Warranty Desk › Registration. It lists units installed in the last 6 months that aren't registered or skipped, with Register by (marked "(est.)" without a manufacturer rule). Due within 14 days is highlighted.

  2. Click Packet. It shows the homeowner and address, your company as installer, the install job and date, and every unit on the install job (they register together as a system).

  3. If it says "Missing before you can register: …", fill those on the equipment first.

  4. Copy the details into the manufacturer's registration portal.

  5. Under Record it, enter the OEM confirmation # and click Confirmed (or Submitted if you're waiting, or Skip). Confirming marks the units Registered.

Statuses: To register, Submitted, Confirmed, Skipped.

Reconcile credits#

  1. Open Credits (Credit reconciliation).

  2. By distributor shows Claims, Approved, Credited, Awaiting and Variance.

  3. Work Awaiting credit and Short paid with each distributor.

Set manufacturer rules#

  1. Open Manufacturer rules.

  2. Add a row: Manufacturer, Register within (days), Parts, registered (yrs), Parts, unregistered (yrs), Labor (yrs), File claim within (days), Ship part back within (days).

  3. Click Save rule (or Remove).

  4. Without a rule, TradesWork uses typical terms, always labelled estimated: register within 60 days, 10-year parts if registered, 5 if not, no labor, file within 30 days, ship back within 30 days.

Settings that change this#

  • Warranty Desk › Manufacturer rules.

Tips#

  • Register the day the install finishes; it's the easiest money you'll ever protect.

  • Dates on the equipment record always win over estimates from rules.

Troubleshooting#

  • "Enter the OEM confirmation number." → required to confirm.

  • "There's already a rule for X." → edit the existing rule.

  • Serial shows "Missing" → add it on the equipment record.

FAQ#

Does TradesWork register with the manufacturer automatically? Not yet. The packet is for copying into their portal. Direct registration is coming soon.

Do credits post to my books? No. They're tracked here for reconciliation.

Coming from ServiceTitan#

  • Different: TradesWork builds a registration packet and tracks deadlines and credits per distributor.

  • Where it lived: ServiceTitan equipment warranty fields; the Registration, Credits and Manufacturer rules tabs of the TradesWork Warranty Desk.
