Overview#

Every technician signs in with their own TradesWork account. The office invites you by email, you accept the invite, and your role decides what you can do. Once you're in, the app remembers you on that phone until you sign out. Technicians and dispatchers can also open a Practice company full of demo jobs and switch back to the real company without signing out.

What's available today: accepting an invite and signing in to the office site with an emailed sign-in link both work. Inside TradesWork Field, the sign-in screen currently offers Development sign-in with demo people, which works only on demo and preview servers. Signing in to the field app with your own email on a live company is coming soon.

Before you start#

  • An owner or admin (or anyone with users.manage or subscription.manage) invites you from Settings › People › Employees & Role Permissions.

  • To work appointments in the field app, your role must be Technician, Dispatcher, Admin or Owner. Customer service, accounting and view-only roles see "Your account can't use the field app yet."

  • The Practice company is open to technicians and dispatchers (permission practice.use).

Steps#

Office: invite a technician#

  1. Go to Settings › People › Employees & Role Permissions.

  2. Under Invite someone, enter the Email, an optional Name (optional), and pick a Role (Technician is the default).

  3. Click Send invite. They get an email with a link to join. No passwords.

  4. If email isn't set up on your server, TradesWork shows Invite link for {email} with a Copy link button. Send that link yourself. It works once and expires in 14 days.

  5. Use Resend or Revoke under Open invites to manage pending invites.

Technician: accept your invite#

  1. Open the invite link from your email.

  2. The page reads Join {company} and shows who invited you and your role.

  3. Enter Your name and tap Accept and join. Your account is created and you're signed in.

  4. As a technician, you land on Your day is in TradesWork Field. If your company has set it up, tap Open in your browser to go to the field app.

If the page says This invite isn't valid, it expired, was revoked or was already used. Ask whoever invited you to send a new one.

Sign in to the field app#

  1. Open TradesWork Field (see Get the TradesWork Field app).

  2. The sign-in screen shows TradesWork Field.

  3. On demo and preview servers, a Development sign-in list of demo people appears. Tap a person to sign in as them. The line under their name changes to Signing in….

  4. You land on Today, with your first name and company at the top.

Personal sign-in with your own email inside the field app is coming soon. Until then, live companies can't sign technicians in to the field app with their own accounts.

Open the practice company#

Use this to learn the app on demo jobs. Nothing you do there touches real customers.

  1. On Today, tap Account (top right).

  2. Under Practice company, read the note and tap Open practice company.

  3. The app reloads into a separate company named Practice: {your company}. It has a small demo pricebook and a handful of demo appointments for yesterday, today and later this week, including one already on hold.

  4. A blue Practice banner on Today reads Practice company · demo data, nothing here is real.

  5. To go back, tap Back to {company} on that banner (or in Account). Your real jobs are waiting; no sign-out needed.

The first time you open it, TradesWork builds it for you. After that it reopens the same practice company.

Sign out#

  1. Tap Account on Today.

  2. Tap Sign out.

  3. If changes on this phone haven't reached the office yet, the app warns Changes not synced and tells you how many. Choose Stay signed in to let them sync first, or Sign out and delete to remove them from this phone.

Signing out clears the saved schedule, the queue of unsent changes and any saved location points from this phone.

Settings that change this#

  • Settings › People › Employees & Role Permissions: invites, roles, and turning a person inactive.

  • A person's role controls what the field app shows. For example, only roles that can sell see Build estimate and Start invoice.

Tips#

  • Let changes sync before you sign out or switch companies. The app won't switch to or from the practice company while changes are still waiting ("Changes are still waiting to sync. Switch once they've reached the office.").

  • New hires can spend their first morning in the practice company: start driving, arrive, build good/better/best options, present, sign, and take a cash payment.

  • The invite link is the proof of your email. Don't forward it to anyone else.

Troubleshooting#

  • "Your session expired. Sign out and back in…" → your sign-in timed out while changes were waiting → sign out and back in. You'll be asked before anything is deleted. With nothing waiting, the app signs you out by itself.

  • "Your account can't use the field app yet" → your role can't work appointments → ask the office for a Technician role, then sign in again.

  • "Can't reach {address}. Is the TradesWork server running?" → the app can't reach your company's TradesWork, or demo sign-in is turned off on this server → check your signal; on a live company, personal sign-in in the field app is coming soon.

  • "Couldn't open the practice company." → no signal, or your role can't use it → try again with signal; only technicians and dispatchers can open one.

  • Practice buttons are grayed out → changes are waiting to sync → wait for the sync banner to say All changes saved.

FAQ#

Do I need a password? No. TradesWork uses emailed sign-in links and invite links, not passwords.

Can I switch between companies in the app? The field app works in one company at a time. The only switch it offers is into and out of your practice company, which is a separate company that only you belong to.

Does practice work count toward my pay or scorecards? No. The practice company is separate from your real company. Nothing there reaches your office.

Coming from ServiceTitan#

  • Same: each technician has their own login, and the office controls access by role.

  • Different: there are no passwords. You join from an emailed invite link. The practice company replaces the need for a separate training tenant.

  • Where it lived: in ServiceTitan, technician logins and mobile access were set up under the technician's employee record in Settings.
