Overview#
If you're switching to TradesWork, you don't need to retype your price book. Export it from ServiceTitan (or Housecall Pro, Jobber, FieldEdge, or any spreadsheet), drop the file into the switching kit, check the preview, and import. TradesWork never logs in to your old system; you export the files yourself.
This is different from supplier price files, which only update material costs. See Supplier catalogs and price files.
Before you start#
You need settings.manage. Only owners and admins can import.
The page is Settings › Tools › Import / Export Data.
Files can be Excel (.xlsx), CSV, or a ZIP of them, up to 50 MB per drop. File names and order don't matter.
Imported items go into the live pricebook straight away. They don't go through a draft. If you want to look first, use the sandbox option in step 6.
Steps#
Export from ServiceTitan#
In ServiceTitan, go to Pricebook › Import/Export and open the Export tab.
Choose export type Pricebook (Settings, Materials and Part Link).
Pick your business unit and tick Include inactive.
Click Export and save the XLSX. If you have several business units, export each one. Items with the same code are merged, not duplicated.
Import into TradesWork#
Go to Settings › Tools › Import / Export Data. The page is titled Switch from ServiceTitan.
Under Coming from, pick your old system: ServiceTitan, Housecall Pro, Jobber, FieldEdge or Another system or a spreadsheet. The side panel shows that system's export steps.
Drag the files into Drop your [system] exports here: a ZIP is fine, or click Choose files. On the ServiceTitan tab you can also click Watch my Downloads folder to pick up new ServiceTitan exports automatically while the page is open.
Check What we found. Each file shows what TradesWork recognized it as, for example "ServiceTitan pricebook: Services", "ServiceTitan pricebook: Materials", "ServiceTitan pricebook: Equipment", "ServiceTitan pricebook: Categories" or "Price book spreadsheet". You can skip or remove a file.
If a file shows Check the columns, TradesWork isn't sure about it:
Under This file is a…, pick what the file is.
For each field, pick the matching column, or (not in this file). Required fields have a star.
Check Preview: your data in TradesWork. The Price book section shows the first 20 items with Code, Name, Kind, Category and Price. Nothing is saved yet.
In the Import card, choose Import into [your company] or Try it in a separate sandbox company first. A sandbox is a separate company you own; your real account isn't touched.
Click Import. A progress bar shows "new", "updated" and "need a look" counts.
When it says Import finished, click See your price book.
Columns TradesWork reads#
For a pricebook spreadsheet, TradesWork matches these columns by name:
Name (required) and Price (required for services, equipment and generic spreadsheets; materials can use Cost instead).
Code, Description, Category, Cost, Taxable, Active.
Item type (Service, Material or Equipment). Without it, the file type decides the kind.
Pricebook ID, so re-importing updates the same items.
Member price, Vendor, and for equipment Manufacturer and Model, are added as notes in the item's description.
A ServiceTitan Categories sheet is used to turn category IDs into readable paths like "HVAC > Repair".
Fix rows that need a look#
If some rows can't be imported, the Import card warns you first ("N rows can't be imported as they are; they'll be listed afterwards. Everything else goes in."). After the import, a table lists each row's Where and Reason. Click Download as CSV to fix them in a spreadsheet, then drop the corrected file again.
Tidy up after importing#
Go to Pricebook › Services & Materials. Imported items are Fixed price items.
Their category shows as text in the Category column, but they count as Uncategorized in the category filter. Build your tree in Pricebook › Categories, then move items with bulk edit (Move to category).
Check descriptions. Member price, vendor and manufacturer notes were added there, and descriptions show on customer estimates and invoices. Edit them and set Member price in each item's pricing instead.
Set labor hours, linked materials and pricing methods where you want rules to price items.
Settings that change this#
Pricebook › Pricing Builder: rules apply only to items you switch to cost-plus or flat rate after import.
Pricebook › Categories: your category tree.
Tips#
Import into a sandbox first if you're unsure. You can switch between companies on the same page under Your companies.
Re-importing a newer export updates the same items instead of duplicating them.
Images don't come across from the ServiceTitan spreadsheet. Upload them in each item's Images panel.
Troubleshooting#
A file shows "Not recognized". Pick what it is under This file is a…, or skip it. The Import button stays off until every file is identified or skipped.
"No name." The row has no name, description or code. Add a name.
"Price "X" isn't an amount." The price cell has text. Fix the number.
"Price is negative." Prices must be zero or more.
Some items lost their code. Codes must be unique. When a code is already used by a different item, the item imports without a code.
"We couldn't reach TradesWork." Check your connection and drop the files again.
FAQ#
Q: Does importing go through a draft? No. Imported items are live immediately, and they don't appear in the change log. Later edits go through drafts as usual.
Q: Are hours and add-on prices imported? No. Labor hours and add-on prices are recognized in the file but not imported. Set labor hours in the item editor.
Q: Will my old job numbers clash? No. On the same page, Job numbers lets you enter your Last ServiceTitan job number so new jobs start above it.
Coming from ServiceTitan#
Use ServiceTitan's Pricebook › Import/Export to export. TradesWork reads the export as is.
Codes, names, descriptions, prices, costs, categories, taxable and active flags come across. Images, labor hours, add-on prices and linked materials don't.
Member prices come across as a note in the description; set them properly in each item's pricing.
