Overview#
A membership plan (ServiceTitan calls it a Membership Type) is the maintenance program you sell, such as a "Comfort Club" with two tune-ups a year and 15% off repairs. Each plan sets the price, how it's billed, how long it lasts, whether it renews, the repair discount, and which visits are included and when they fall due. Once a plan exists, the office and technicians can sell it.
Before you start#
You need memberships.manage. Only owners and admins have it.
Set up your job types first if you want each included visit to book as a specific job type, for example "Maintenance". Job types are set up during company setup and booking.
Steps#
Open plan setup#
Go to Settings › Operations › Memberships. The page is titled Membership plans.
You can also go to Follow Up › Memberships and click Plans.
Existing plans are listed on the left. The form on the right is New plan.
Create a plan#
Name: what customers see, for example "Comfort Club". Names must be unique.
What's included (shown to customers): a short description. Technicians show it on the sell screen, so write it for the homeowner.
Price: the amount per billing period, for example 179.00.
Billing: Paid once, Monthly or Yearly.
Paid once: the whole fee goes on one invoice at the sale.
Monthly: the first month goes on the sale invoice. Later months are billed by recurring billing.
Yearly: the fee goes on the sale invoice, then on a renewal invoice each term.
Months: how long one term lasts, from 1 to 60. Twelve is typical.
Repair discount (%): the discount off service (labor) lines on member invoices. The default is 15. Enter 0 for no discount.
Visits per term: how many maintenance visits are included, from 0 to 52. This drives the "visits left" count shown to technicians and on the customer page.
Check Renews automatically if the plan should roll into a new term at the end. Uncheck it for plans that end.
Leave Offered for sale checked. Uncheck it to retire a plan; existing members keep it.
Add the included visits#
Under Included visits, fill in one row per visit (up to four rows show; save and edit to add more, up to 12):
Visit: a name, such as "Fall heating tune-up".
Job type: the job type the visit books as. Pick None to leave it blank.
Choose when it falls due, one of:
Months due: month names or numbers, for example "Oct" or "4, 10". The visit is due on the first of each listed month (or on the start date, in the start month).
or every N months: an interval from the start of the membership, for example 6.
Don't fill in both. TradesWork asks you to pick the months or an interval, not both.
Click Create plan.
Edit a plan#
Click Edit next to the plan.
Change the fields and click Save plan.
Changes apply to new sales. Existing members keep the visits they bought.
Click New plan to go back to an empty form.
Settings that change this#
Settings › Accounting › Billing & Collections: how monthly dues and renewal invoices are charged, retried and reminded.
Marketing › Campaign Library: templates such as "Renewal reminder 30 days out" and "Call members two weeks before renewal".
The repair discount also sets the default Member price shown on pricebook service items (Pricebook › Services & Materials › an item's Member price setting, "From membership plans").
Tips#
Name visits the way your techs talk, like "Spring cooling tune-up". The name shows on the Memberships page, the customer page and the booked job.
Use Months due for seasonal work (HVAC, irrigation). Use every N months for work tied to the install date (water treatment, generators).
Retire old plans with Offered for sale unchecked rather than deleting them. Members on that plan keep their benefits.
If you have several plans with a repair discount, the pricebook's default member price uses the best active plan's discount.
Troubleshooting#
"There's already a membership called …" → Plan names must be unique. → Pick a different name, or edit the existing plan.
"Pick the months the visit is due, or an interval, not both" → A visit row has both fields filled in. → Clear one.
"Pick job types from your company's list." → The job type was removed. → Choose another job type or None.
Technicians don't see the plan. → It isn't Offered for sale, or the address already has a membership. → Check the plan, then the customer's page.
FAQ#
Q: Can I change the price for existing members? Plan edits apply to new sales. Existing members keep the price and visits they bought.
Q: Does the discount apply to materials and equipment? No. The repair discount applies to service lines only. Membership fees, monthly dues, finance charges and extended warranties are never discounted.
Q: Can a plan have no visits, just a discount? Yes. Leave the visit rows empty and set Visits per term to 0.
Coming from ServiceTitan#
Same: a plan here is ServiceTitan's Membership Type. Included visits work like Recurring Services, and each due visit is a Recurring Service Event you book into a job.
Different: setup is one page. The discount is one percentage on service lines rather than a separate pricebook discount setup. Billing frequency is Paid once, Monthly or Yearly.
Where it lived: ServiceTitan Settings › Memberships › Membership Types.
