Overview#

You can sell a membership two ways. The office sells from the customer's page. A technician sells on the job in the TradesWork Field app, with the customer signing on the screen. Either way, TradesWork creates the membership for one address, schedules the included visits for the first term, and puts the fee on a real invoice so it's collected like any other bill.

Before you start#

  • At least one plan must be set up and Offered for sale. See "Set up membership plans".

  • Office sale: you need jobs.write (owners, admins, dispatchers and customer service).

  • Field sale: the technician must be assigned to the appointment. Technicians sell with estimates.write.

  • Cancel: you need customers.write (owners, admins, dispatchers and customer service).

  • Each address can have one membership at a time.

Steps#

Sell from the office#

  1. Open the customer: click Customers in the top bar and search, then open the customer.

  2. Find the Memberships card. "Not a member yet." means there is no membership.

  3. Under Sell a membership, fill in:

    • Plan: each option shows the name and price, for example "Comfort Club · $179.00/yr".

    • Location: the address the membership covers.

    • Starts: today by default. A future date makes the membership Starts later until that day.

    • Agreed by (optional): the customer's name.

  4. Click Sell membership.

  5. The fee goes on a membership invoice on a billing job (a completed job with no appointment). Send that invoice to collect.

Sell in the field#

  1. In the Field app, open the appointment.

  2. The Membership section shows "Not a member yet" and "Offer [plan]: included tune-ups and member pricing on today's repairs."

  3. Tap Sell membership. Hand the phone or tablet to the customer. The screen is written for them.

  4. The customer sees Membership plans, [name] with a card for each plan: what's included, the discount ("15% off repairs, starting today"), the term and the price. They tap Choose this plan.

  5. On Join [plan], the customer reads the terms under Agree and sign, checks the printed name and signs in the box.

  6. They tap Join for [price]. The screen shows Welcome to [plan] and "Your 15% member discount applies to today's repairs."

  7. The fee (or the first month, for monthly plans) is added to this visit's invoice. The member discount applies to today's repair lines right away.

  8. Tap See other plans to go back if they want a different plan.

Check the membership#

  1. On the customer page, the Memberships card shows the plan, status (Active, Starts later, Expired or Canceled), price, the address, and:

    • Term N: start and end dates.

    • Visits: used and left.

    • Discount: for example "15% off repairs".

    • Renewal: Automatic or Ends at term end.

  2. Each visit is listed as Due, Booked, Done or Dismissed, with a link to its job when booked.

  3. The bottom line shows who sold it and on which job.

Cancel a membership#

  1. On the customer page, open Cancel membership… under the membership.

  2. Enter a Reason, such as "Moving".

  3. Click Cancel membership and confirm.

  4. Visits not yet booked are dismissed and the discount stops. Jobs already booked stay for the office to keep or cancel.

Settings that change this#

  • Settings › Operations › Memberships: plans, prices and included visits.

  • Settings › Accounting › Billing & Collections: how monthly dues and renewals are charged.

  • Marketing › Automated Campaigns: the "Membership sold" trigger can tag new members or send a welcome text.

Tips#

  • Technicians sell best right after presenting repair options. The field option cards already show the member price next to the regular price.

  • Office sales are great for phone sign-ups and renewals of expired plans.

  • If the customer already paid, record the payment on the membership invoice like any other invoice.

Troubleshooting#

  • "This address already has [plan]." → One membership per address. → Cancel the old one first, or sell for a different address.

  • "[plan] isn't offered anymore." → The plan was retired. → Pick another plan or turn Offered for sale back on.

  • "The job's invoice is closed. Reopen it before adding the membership." → The job's invoice is paid or void. → Sell from the office customer page instead; the fee goes on its own invoice.

  • The Field app says "No plans to offer". → No plans are offered for sale. → Ask an owner or admin to set one up.

  • The Field app says "Already a [plan] member". → The address already has a membership. Nothing to sell.

  • "Sell the membership for the job's customer and address." → The job is at a different address. → Sell from the customer page for the other address.

FAQ#

Q: Does a retried sale create two memberships? No. Each sale carries an id, so a phone that retries on a weak signal only creates one.

Q: Which campaign do membership billing jobs use? Your first active repeat-customer campaign. If you have none, TradesWork creates one called "Memberships".

Q: Who gets credit for the sale? The person who sold it, shown as "Sold by" on the customer page.

Coming from ServiceTitan#

  • Same: a membership is sold for one location, creates its recurring service events, and bills through an invoice.

  • Different: the field sell screen is customer-facing with a signature, and the discount applies to today's repairs immediately. Office sales put the fee on a billing job automatically.

  • Where it lived: ServiceTitan customer and location record › Memberships, and the mobile app's membership sale.
