Overview#
Reports › All Reports (/reports) lists every business metric TradesWork tracks, grouped by area, for the period you pick. Each metric is defined once in a single metric dictionary, and that one definition is used everywhere: the Dashboard, All Reports, Insights answers, watchlist alerts and the MCP get_metrics tool. Click any value to open its drill-down page (/reports/metric/<id>), which shows the formula, the date rule and the exact records behind the number.
Before you start#
You need
reports.read. The Owner, Admin, Dispatcher, Customer service, Accounting and Viewer (analyst) roles have it. Technicians don't (no company financials in the field app).Job costing metrics (Gross profit, Gross margin, Materials % of revenue, Labor % of revenue, Revenue per labor hour) also need
costing.read: Owner, Admin and Accounting.Performance pay % of revenue also needs
perfpay.read: Owner, Admin and Accounting.Metrics you can't see are simply left out of the list.
In drill-downs, customer names are blanked for anyone without
customers.read. All the roles above have it.
Steps#
Read All Reports#
Go to Reports › All Reports.
Pick a period at the top right: Today, This week, This month (default), This quarter, Year to date or Custom (choose From and To, then Apply).
Optionally filter by Business unit. If your company has branches, Branch and Brand filters also appear. Click Filter; Clear removes filters.
Read the area tables: Revenue and cash, Jobs, Sales, Memberships, Receivables, Quality, Capacity, Job costing and Technician pay. Each row shows Metric, the value for the period, and the Definition with its date rule.
If a metric can't be split by your filter, the value says "all business units" underneath.
Hover the info icon next to a metric name to see its definition.
At the bottom, Revenue by marketing channel shows Jobs booked, Jobs completed, Sold and Collected per campaign channel, with a Total row. Every cell opens that metric filtered to the channel. When campaigns TradesForce created booked jobs in a channel, a line under the channel name says how many, for example 3 booked via TradesForce (point at it to see the campaign names).
Open a drill-down#
Click a metric name or value. The page header shows the area, the metric name and its definition.
Change the period or filters here too. The filter bar only offers filters that metric supports: Business unit, Technician, Channel, Campaign and Job type.
The value card shows the period, the exact number and the sample, for example "12 of 40 proposals". Balance metrics show "balance as of" a date and time.
How it's calculated shows the formula and the Date rule.
The table lists the records behind the number, newest first, 50 per page. Use ← Newer and Older → to page. The first column links to the job or invoice.
For Accounts receivable and A/R over 30 days, an aging breakdown shows 0–30 days, 31–60 days, 61–90 days and Over 90 days (days since the invoice date).
Use Save view or Export CSV (see the related article).
How comparisons work#
Periods are whole days in your company time zone, midnight to midnight.
"Previous period" is the same number of days just before: yesterday, last week to the same weekday, last month to the same day, last quarter to the same point. Year to date has no previous period.
"Same period last year" is the same calendar days one year earlier (Feb 29 becomes Feb 28).
No records in scope shows "—", never 0. Ratio changes are shown in points.
The dictionary: key metrics and formulas#
Revenue and cash
Revenue: sum of invoice subtotals (after discounts, before tax) of invoices whose invoice date is in the period. Drafts and voided invoices are excluded. Invoice date = when the invoice was sent, or when it was paid if it was paid before being sent.
Collected: sum of successful payment amounts received in the period (card, bank, cash, check), including tax. Pending and failed payments are excluded; refunds are not subtracted.
Average ticket: revenue of invoices over $0 ÷ the number of those invoices. Membership billing invoices are left out.
Jobs
Jobs booked: count of jobs created in the period, from any source, including ones later canceled.
Jobs completed: count of jobs whose completion date is in the period.
Sales
Close rate: proposals with a sold option ÷ proposals presented in the period (sold at any time since). Good/better/best options presented together count as one. Date: when the first option was created.
Sold: sum of subtotals of estimates sold in the period, before tax.
Open estimates: for each proposal with no sold option and at least one open option, its highest open option subtotal, summed. A balance at the end of the period.
Lead booking rate: leads with a job ÷ leads created in the period. "—" if you don't track leads.
Memberships
Active memberships: memberships whose current term covers the day and that weren't canceled. Renewals count continuously.
Memberships sold: memberships created in the period, excluding imported records. Can filter by technician (who sold it) and business unit.
Memberships lost: canceled in the period plus expired without renewal in the period.
Membership revenue: membership fee lines on sent or paid invoices, by invoice date. It is part of Revenue.
Receivables
Accounts receivable: sum of balances (total − payments + refunds) of sent invoices with a balance.
A/R over 30 days: the part of A/R on invoices more than 30 days past their invoice date.
Quality and capacity
Callbacks: jobs booked in the period at a location that had a job completed in the 30 days before. Planned membership visits don't count.
Capacity booked: booked appointment minutes (× technicians assigned) ÷ technician working minutes (shifts minus time off). Only days since your company started using TradesWork count.
Job costing (needs job costing access)
Gross profit: sum over invoiced jobs of (invoice subtotal − job cost).
Gross margin: Σ (subtotal − job cost) ÷ Σ subtotal.
Materials % of revenue and Labor % of revenue: material or burdened labor cost ÷ revenue.
Revenue per labor hour: revenue ÷ labor hours (drive + on job).
Jobs whose labor cost is unknown (someone has no burdened rate) are left out rather than counted at $0.
Technician pay (needs pay access)
Performance pay % of revenue: performance pay on the job (commissions, spiffs, flat rates, less clawbacks) ÷ invoice subtotal. Hourly wages, tips, bonuses, guarantees and adjustments aren't counted.
Settings that change this#
Settings › Your Account › Company Profile & Business Hours: time zone (where each day starts) and invoice terms.
Settings › People › Technicians: working hours behind Capacity booked.
Settings › People › Payroll: burdened labor rates feed the job costing metrics.
Campaigns on jobs drive the channel table and the Channel and Campaign filters.
A campaign TradesForce created (over its connection to TradesWork) carries TradesForce's campaign id, so TradesWork labels it via TradesForce on the channel table, the job page and the lead page. The numbers still come from your own jobs and payments.
Tips#
Use the drill-down to settle disputes about a number: the rows always add up to it.
Filter one metric by Technician to compare people on close rate, average ticket or callbacks.
The Dashboard and this page use the same definitions. If they look different, check the period and filters.
Troubleshooting#
A metric I expected is missing. It needs job costing or pay access your role doesn't have.
"Can't be split by business unit, so that filter isn't applied here." That metric (for example Active memberships or Capacity booked) doesn't support the filter. The value covers everything.
Customer names show "—" in rows. Your role lacks customer access.
Revenue looks low this month. Draft invoices don't count until sent or paid.
FAQ#
Can I build a custom report? Not today. Use the dictionary metrics with filters, saved views and CSV export.
Why does Close rate change for a past month? A proposal presented in that month can be sold later; it then counts as sold for the month it was presented.
Is Revenue before or after tax? Before tax, after discounts. Collected includes tax.
Coming from ServiceTitan#
ServiceTitan's Report Center has many templates with their own column logic, so two reports can disagree. TradesWork has one dictionary: each KPI is defined once and every screen uses it. Vocabulary matches ServiceTitan (Business unit, Job type, Campaign). Drill-downs replace running a detail report, and Export CSV gives you the rows.
