Overview#
Online booking lets customers book 24/7 into your real availability: technician hours, time off, what's already booked, job type durations and required skills. Bookings land on the dispatch board as unassigned jobs with the campaign "Online booking". You get a booking page link and a small script that adds a Book now button (or an embedded form) to your website.
Before you start#
You need the Owner or Admin role.
You need job types with durations. Online booking uses each job type's duration and skills to find openings.
Technicians need working hours (Settings › People › Technicians, or your company hours).
A login to your website editor (Wix, Squarespace, WordPress, GoDaddy…) if you want the button on your site.
Steps#
1. Choose what customers can book#
Open Settings › Communications › Web Appointments (also listed as Booking Providers under Integrations). The page is titled Online booking.
In Bookable services, for each job type you want online:
Tick Online.
Edit Name customers see and an optional Short description.
Enter Price ($) or leave it blank for no price. Tick From to show it as a starting price.
If you use business units, pick the Business unit (or Job type default).
Press Save services.
2. Set the rules and switch it on#
In Rules (times are in your company's time zone):
Arrival windows: start-end in 24-hour time, separated by commas, for example 8-10, 10-12, 12-14, 14-16.
Drive time between jobs (minutes).
Minimum notice (hours): a window must start at least this long from now.
No same-day bookings after: a cutoff time, or No cutoff.
Book up to (days ahead): 1 to 90.
Max online bookings per window: keeps room for phone calls. Blank books until the window is full.
Service area ZIP codes: customers outside them are asked to call. Blank accepts any ZIP.
Tick Accept online bookings.
Press Save rules. The page header shows Live.
3. Add it to your website and profiles#
In Share your booking page:
Booking page: press Copy link, or Open to see it.
Website button (opens the booking form over your page): copy the snippet and paste it where the button should appear on your site.
Or embed the form in the page: copy the inline snippet instead.
Where to paste the link:
Wix: Add › Button › Link › Web address.
Squarespace: Edit › Add block › Button › paste the link.
WordPress: add a Button block › paste the link.
Google Business Profile: Edit profile › Contact › Appointment links.
Facebook: your page › Add action button › Book now › Link to website.
In Settings › Integrations › Connections, open Online booking on your website and press Mark done on Add the button to your website.
4. Make a test booking#
Open your booking link on your phone and book a window for yourself.
It shows on the dispatch board as an unassigned job. Cancel it afterwards.
Settings that change this#
Settings › People › Technicians: weekly hours and time off create the open windows.
Settings › Dispatch Board › Board & Skills: job type skill requirements limit which technicians can take a booking.
Settings › Your Account › Company Profile & Business Hours: default hours for technicians without their own.
Settings › Phones › Phone Numbers, Call Recording & Texting: the missed-call text can include your booking link ({link}).
Tips#
Keep Max online bookings per window low at first so phone customers still get slots.
The office board ignores the notice and cutoff rules; they only apply to online and partner bookings.
Put the booking link in your missed-call text so callers who don't reach you can book themselves.
Troubleshooting#
The booking page shows no windows → no technician has free time that fits. → Check technician hours, time off, the minimum notice, the same-day cutoff and Book up to (days ahead).
The page says "not available" → Accept online bookings is off. → Tick it and Save rules.
"No job types yet" → online booking needs job types with durations. → Add job types first.
A customer outside my area booked → no ZIP list is set. → Add your ZIPs in Service area ZIP codes.
The website button doesn't show → the snippet was pasted as text, or your site builder strips scripts. → Paste it into an HTML or code block, or use the plain link on a button instead.
FAQ#
Who gets assigned to online bookings? Nobody automatically: they land unassigned on the dispatch board for your dispatcher to assign.
Can customers pay when they book? Not at booking. You invoice and collect as usual after the job.
Can I book through Reserve with Google? Not directly yet. Put your booking link in Google Business Profile's appointment links instead.
Coming from ServiceTitan#
ServiceTitan's Scheduling Pro offers a similar booking widget. When you switch, replace the ServiceTitan booking link on your website and in Google Business Profile with your TradesWork link, and turn off ServiceTitan's Reserve with Google integration so customers don't see two booking links.
