Overview#

Replenishment looks at every location below its template minimum and plans a refill up to the maximum. Trucks pull from their warehouse first; whatever the warehouse can't cover, plus warehouses below their own minimum, is bought. One click turns the plan into transfer requests and draft purchase orders grouped by preferred vendor.

Before you start#

  • Viewing needs inventory.read.

  • Approve all needs both inventory.manage and purchasing.write (Owner, Admin, Dispatcher).

  • Items need min/max templates and a preferred vendor (for buying).

Steps#

  1. Go to Purchasing › Replenishment.

  2. Review the plan:

    • Transfer cards "{warehouse} → {truck}": "Transfer request for the warehouse to pull."

    • Purchase cards Buy from {vendor} ("Ship to X. Becomes a draft PO."), with Item, Quantity, Unit cost and an estimated total.

    • Buy (no preferred vendor yet): set a vendor in Setup, or raise a PO by hand.

  3. Click Approve all. You'll see "Replenishment approved: transfer requests and draft purchase orders created."

  4. Next: pull and load the transfers (Transfers tab), and send the draft POs to vendors (Purchase orders tab).

How the plan is worked out#

  • "Have" = on hand + what's already on the way (open transfer requests in, and unreceived quantities on Draft, Sent or Partially received POs).

  • Below min → refill to max. Trucks first, from their Restock from warehouse, without taking the warehouse below zero.

  • Anything left is bought, shipped to the warehouse (or straight to the truck if you have no warehouse).

  • Suggestions are calculated live each time you open the page.

Settings that change this#

  • Purchasing › Inventory › Setup: templates, Restock from, preferred vendors.

Tips#

  • Run replenishment on a fixed day each week.

  • Approving twice won't create duplicates.

Troubleshooting#

  • "{n} line(s) have no preferred vendor, so no PO was made for them." → set a preferred vendor in Setup.

  • "Nothing to replenish" → every location is at or above min, or stock is already on the way.

  • No Approve all button → you need both inventory.manage and purchasing.write, or there's nothing to approve.

FAQ#

Does approving send the POs? No. They're drafts. Open each PO and send it.

Coming from ServiceTitan#

  • Same: min/max replenishment creating transfers and purchase orders.

  • Different: the plan is live (never stored) and trucks are always filled from the warehouse first.
