Transfers and truck restocks

Overview#

A transfer moves stock between two locations: warehouse to truck, truck to truck, or back to the warehouse. Transfers come from three places: a technician's restock request (Tech request), approved replenishment (Replenishment), or the office (Office). Requests wait until the warehouse pulls and loads them; then stock moves in one step.

Before you start#

• Viewing needs inventory.read.

• Moving stock and completing or canceling transfers needs inventory.manage (Owner, Admin, Dispatcher).

• Technicians request restocks from the Field app (inventory.truck). They can't move stock between trucks.

Steps#

Pull and load requests#

1. Go to Purchasing › Transfers. Waiting to be pulled lists open requests: number (TR-…), Requested, From → to, Items, Source and Status.

2. Pull the items, load the truck, and click Pulled and loaded. The transfer completes and stock moves.

3. If it's not needed, click Cancel.

Move stock yourself#

1. In Move stock, add item lines and choose From and To.

2. Add a Note (optional).

3. Leave Move it now (uncheck to leave a request) ticked to move immediately, or untick to leave a request for the warehouse.

4. Click Save transfer.

Statuses#

Requested, Completed, Canceled. Recent shows the last 50 completed or canceled transfers.

Settings that change this#

• Purchasing › Inventory › Setup: each truck's Restock from warehouse.

Tips#

• Set a daily time to work Waiting to be pulled, for example before trucks roll out.

• A completed transfer can't be undone; move the stock back with a new transfer.

Troubleshooting#

• "Pick two different locations" / "Add at least one item" → fix the form.

• "That location is inactive." → reactivate it in Setup or pick another.

• "This transfer is already complete. Move the stock back with a new transfer."

• "This transfer was canceled."

FAQ#

Can the source go negative? Yes, if the warehouse count was off. It shows up in Review.
