Overview#
On the appointment you can build one estimate or up to three options (good / better / best) with items from your company's pricebook. Then you hand the phone or tablet to the customer. The presentation screen shows big, plain option cards with no job numbers or costs. The customer picks one, signs with a finger, and chooses whether the work happens today or later. Selling one option closes the others and adds its items to the invoice.
Before you start#
Your role must be able to write estimates: technicians, dispatchers, owners and admins can. If you can't, the builder says You can't build estimates on this job.
The appointment can't be canceled.
The pricebook is saved on the phone, so you can build and present with no signal. The estimate syncs later. Tax is added by TradesWork when the estimate reaches the office.
To start from a kit or template, the office must have set them up (see Settings below).
Steps#
Build the estimate#
Open the appointment and scroll to Estimates.
Tap Build estimate.
Under Template, pick Single option ("One price for the work"), Good / Best or Good / Better / Best ("Customers pick one option. Selling it closes the others.").
Optional shortcuts:
Start from a template: proposal templates from the office fill options, rebates and brochures at today's published prices.
Start from a kit: pricebook kits fill the options with today's published prices. Kits and templates for this job's type are listed first. You can change anything before creating.
For each option (Option 1, Option 2…):
Enter the Option name (for example "Good").
Enter What the customer gets (optional).
Tap Add item and search Search services, parts, equipment, or open a category. Tap an item to add it.
Change the quantity with − and + or type it. Change the Unit price if needed; a changed price shows Price changed from $X. Tap to reset.
Tap Remove next to a line to drop it.
Under each option you can also:
Open Rebates, savings, brochures, proof to add rebates (shown to the customer as an "after rebate" price; the invoice isn't reduced), a yearly Energy savings (estimate), brochures and spec sheets, and proof such as photos or equipment findings. Mark one option ☆ Mark recommended.
Tap Add photos under Photos for this option to attach job photos, then Done choosing.
Tap Duplicate option or Remove option.
With several options, type a Shared summary and tap Apply to all {count} options to give every option the same description.
Check the totals: Subtotal, Tax (estimated) and Total. If the customer is a member, a Member price line appears.
Tap Create estimate (or Create 3 options). You'll see Estimate created and 3 options are ready to present.
Present to the customer#
Tap Present to customer (or Present options in the Estimates section).
The hand-over screen opens: pick the Customer's language (English or Español) and tap Start presentation. Tap Not yet to go back. From here the screen is locked to the presentation: to leave it, touch and hold the lock at the top right for 1.5 seconds and confirm with Face ID, Touch ID or your passcode. See Present mode: hand the iPad to the customer.
When the visit has findings, the customer first sees Your home today, {first name}: what you found with a Good, Fair or Poor condition, the age of their equipment against its typical life, and what matters to them. They tap See your options.
Your options, {first name} (or Our recommendation for one option) shows one card per option, in the same order on every card: the picture, the name, the price ("As low as $92/mo" with Or pay and the total when your company offers financing; Total, plus tax otherwise), What's included, then add-ons, rebates and proof. The recommended option has a Recommended for your home band with your reason.
With more than one option, Compare shows the options side by side (comfort, efficiency, sound, warranty, smart thermostat, energy cost, monthly and total).
The customer taps Choose {option}, checks the Printed name, signs, picks When should we do the work? (On this visit or Schedule it for later) and taps Approve and sign.
The thank-you screen says Thank you, {name} and stays on screen (still locked) until you take the device back and exit with the lock.
To back out before signing, tap Back to options.
After the sale#
The sold option shows Sold and Approved by {name} in the Estimates section. The other options in that group are closed.
Its items are added to the invoice. See Take payment in the field.
Sold work shows Done on this visit or Scheduled for later. Until the work starts, tap Schedule for later or Do it now instead to switch.
Open options can still be changed: tap Edit option · rebates, brochures, proof. To change items, build a new option.
The office can follow up on options that weren't sold from Follow Up › Estimates.
Start a financing application#
When financing is on, the Financing section lists your options as Financing for {option} ($X), with the lender fee and what your company nets. Tap Start application, then Send apply link to text or share the lender's link. If the lender isn't connected, the status reads Office helps apply and the office records the decision.
Settings that change this#
Pricebook › Estimate Templates: kits that fill good / better / best options.
Pricebook › Proposal Templates: templates with rebates, brochures and recommended options.
Pricebook › Services & Materials: items, prices and member prices.
Settings › Operations › Forms › Guided flow: Options presented to the customer can be a reminder or required before finishing.
Settings › Integrations › Financing: monthly payment display and lenders.
Settings › Operations › Memberships: member pricing on estimates.
Tips#
Always build at least two options. Customers like a choice, and Good / Better / Best lets them pick.
Attach your best photo of the problem to each option. It appears under What we found and on the option.
If the device is offline, you can still present and take the signature. You'll see "Saved on this phone. It reaches the office when there's signal."
Troubleshooting#
Create estimate is grayed out → an option is missing something → read the message: "{option} needs a name.", "{option} needs at least one item." or "{option} has a quantity or price to fix."
"The pricebook isn't saved on this phone yet." → it hasn't downloaded → open the app with signal and pull to refresh on Today.
"No open options to present" → everything was already approved or set aside → build a new estimate.
No Start from a kit section → the office hasn't published kits → ask them to add kits in Pricebook › Estimate Templates.
Tax shows "Added when this syncs" → the estimate was made offline → tax is added when it reaches the office.
FAQ#
Can the customer sign without me? Yes. The presentation is built for the customer to hold, with no job numbers or internal costs on screen. Stay nearby to answer questions.
What happens to the options the customer didn't choose? Selling one option in a group closes the others. They stay on the job as history.
Is the energy savings figure a guarantee? No. The customer sees "An estimate, not a guarantee."
Coming from ServiceTitan#
Same: estimates built from the pricebook, good / better / best options, a customer-facing presentation and a signature.
Different: kits and proposal templates sort by the job's type, everything works offline, and the customer chooses Today or Schedule for later while signing.
Where it lived: the Estimates tab and presentation mode in ServiceTitan Mobile; estimate templates under Pricebook.
